CPBAO is the governing body for psychology and applied behaviour analysis in Ontario. The College’s role is to regulate these professions in the public interest by setting the standards for competent and ethical practice. These regulatory activities include establishing entry-to-practice requirements, developing and promoting Practice Standards, supporting continuing competence, fostering professional engagement, and managing concerns related to professional conduct.
ROLE – Registration Assistant – one year contract position.
The Registration Assistant position is responsible for review and analysis of applications for professional registration and correspondence with applicants.
KEY RESPONSIBILITIES
Supervised Practice
- Reviews and analyzes applications for supervised practice
- Carries out post-review issuance of certificates for supervised practice
- Prepares relevant supervised practice invoices
- Enters and maintains database information of applicants and supervised members
- Monitors, tracks and reports progress of applicants and supervised members
- Responds to member inquiries regarding retraining following Committee review
- Maintains accurate paper and electronic/database filing systems for applicants and supervised members
Autonomous Practice (AIT applications)
- Reviews and analyses applications for autonomous practice under AIT conditions
- Prepares related correspondence in conjunction with Senior Registration Assistant
Interim Autonomous Practice
- Reviews mobility applications
- Drafts notices of referral to Registration Committee where doubt exists about eligibility for interim autonomous practice
- Carries out post-review issuance of certificates for interim autonomous practice
- Prepares interim autonomous practice invoices
- Enters and maintains database information for mobility applicants and interim autonomous practice members
- Monitors, tracks and reports progress of interim autonomous members
- Maintains accurate paper and electronic/database filing systems for mobility applicants and interim autonomous practice members
Registration Support
- Supports the College’s commitment to transparent, objective, impartial and fair registration practices
- Develops familiarity with, and applies, relevant legislation, guidelines and policies
- Applications:
- Assists applicants for supervised practice and interim autonomous practice
- Receives and records all incoming application materials from applicants
- Responds to telephone, written, e-mail and in-person inquiries from applicants
- Drafts notices of referral to Registration Committee where doubt exists concerning applicants academic credentials or training
Data/File Maintenance & Information Support
- Completes data entry and ensures that electronic files for assigned activities are accurate and current.
Appeals and Reviews
- In conjunction with Director, prepares submissions for Health Professions Appeal and Review Board (HPARB) appeals
- Maintains paper and electronic/database of appeal files and a database of HPARB decisions
Supervisors
- Monitors first time work appraisals from Primary and Alternate Supervisors for timeliness and quality
- Prepares feedback correspondence for supervisors where necessary
Registration Committee
- Receives and monitors incoming submissions for Registration Committee meetings
- Assists in preparation of Registration Committee materials
Change of Area of Practice for Autonomous Practice Members
- Reviews and analyzes applications for change of area of practice from autonomous practice members
- Drafts notices of referral to the Registration Committee
- Prepares change of area application materials for review by the Registration Committee
- Prepares correspondence and Minutes arising from change of area applications
- Responds to member inquiries regarding Committee reviews
- Other duties as required

MINIMUM QUALIFICATIONS
- Undergraduate degree in psychology
- Excellent interpersonal and customer service skills
- Administrative experience in a regulatory or professional environment
- Excellent oral and written communication skills
- Strong organizational and time management skills with high level attention to detail
- Fluency in French an asset
