Exam Administration Coordinator, Performance Exams

The Pharmacy Examining Board of Canada (PEBC) is now inviting applications for the vacancy of Exam Administration Coordinator, Performance Exams. This is a full-time, hybrid position.

A competitive salary and benefits package is offered. The salary range for this position is $65,000 to $75,000 per year. This position will remain open until a suitable candidate is found. It is a fundamental requirement of employment at PEBC that the employee is able to be physically present at the PEBC office in Toronto, Ontario, to perform their employment duties, for the number of in-office days required. Position Purpose:

Support in the planning, preparation and delivery of the Qualifying Examination – Part II (OSCE/OSPE), and to help ensure the secure, consistent and efficient administration of PEBC’s performance examinations across multiple sites. The Coordinator contributes to exam readiness, centre communication and training logistics, and plays a key role in implementing approved candidate accommodations. The position also supports post-exam quality assurance and continuous improvement initiatives to maintain PEBC’s standards of fairness, consistency and integrity in examination delivery.

 

Responsibilities:

Exam Administration Procedures and Centre Support:

  • Maintain and update exam administration policies and procedures under the guidance of the Assistant Manager.
  • Support exam centre personnel in administering examinations according to established policies and standards to ensure standardized and compliant delivery.
  • Assist with exam day operations, including communication with centre personnel and troubleshooting logistical issues as they arise.

Training Coordination:

  • Coordinate logistics for onboarding and training sessions for exam centre personnel.
  • Prepare and distribute training materials, resources and tools.
  • Support webinars, orientation sessions and follow-up communications to ensure training is delivered effectively.

Candidate Accommodations Implementation:

  • Communicate with exam centres regarding the implementation of approved accommodations.
  • Collaborate with exam centres and the Candidate Accommodations and Resources Lead to develop tasks, tools, training, documentation and other logistical details needed to implement accommodations.
  • Ensure accommodations are executed accurately and in accordance with the candidate’s agreement letter and PEBC policy.

Resource Development and Communications:

  • Contribute to the development and maintenance of training and communication materials for both candidates and exam centre personnel.
  • Support internal communication and coordination related to performance exam operations.

Post-Exam and Ongoing Quality Assurance:

  • Collect, compile and summarize candidate and exam personnel feedback, incident reports and administrative documentation from exam centres.
  • Support follow-up communications with sites to clarify information or address identified issues.

General Duties:

  • Support organizational quality improvement initiatives and special projects as assigned.
  • Perform additional duties as assigned to support the efficient and secure administration of PEBC examinations.

 

Qualifications:

  • A bachelor’s degree or higher is preferred. Candidates with a combination of university-level education and directly related experience may also be considered.
  • Experience in examination administration, preferably with performance-based assessments such as OSCE/OSPE.
  • Strong coordination and organizational skills, with excellent attention to detail and the ability to manage multiple priorities.
  • Excellent English verbal and written communication skills, with the ability to work effectively with diverse teams and stakeholders.
  • Demonstrated ability to work independently, exercise sound judgment and adapt to changing timelines or procedures.
  • Proficient in Microsoft Office and general computer applications, with the ability to learn new technologies quickly.
  • Professional, reliable and accountable in managing responsibilities and maintaining confidentiality.
  • Bilingual proficiency in French and project coordination experience are considered assets.

 

Working Conditions & Other Requirements:

  • Majority of work is performed at a desk in a temperature-controlled office environment, requiring sustained periods of computer use and visual concentration.
  • Occasional light physical effort may be needed to transport examination or meeting materials.
  • Applicable PEBC Remote Work Policy Category: B – with attendance in office 2 to 3 days per week and occasionally more, as needed.
  • Travel to examination centres and attendance at local meetings and workshops, including on weekends or evenings, is often required.
  • Available to work longer days (greater than 7 hours) as operational demands require.
  • Overtime work as required or deemed necessary.
  • Confidentiality and security of information and examination materials must be maintained at all times, both within and outside the office.
