Position Overview

FP Canada is seeking a Decision Editor and Tribunal Clerk to support its national disciplinary and enforcement framework. Working closely with internal and external legal counsel, this role provides procedural, administrative, and analytical support to independent Hearing and Appeal Panels. The position coordinates all aspects of disciplinary hearings, ensuring proceedings are conducted fairly, efficiently, and in accordance with applicable rules, timelines, and principles of administrative law. It also provides decision‑editing and decision‑writing support, assisting panels in producing clear, accurate, and well‑reasoned decisions that reflect panel findings and align with tribunal best practices. In addition, the role supports post‑decision monitoring and compliance, contributing to the integrity, transparency, and effectiveness of FP Canada’s disciplinary process and public interest mandate.

Key Responsibilities

In this role, you will:

Hearing Panel Support (50%)

  • Provide procedural and administrative support to Hearing and Appeal Panels, including scheduling, conflict checks, panel selection, logistics, distribution of materials and hearing records/minutes
  • Support tribunal members during hearings and deliberations, including document management and virtual hearing/technology support
  • Ensure compliance with the Disciplinary Rules and Procedures timelines, and tribunal protocols
  • Act as the primary contact for Panel members, Independent Legal Counsel and the Parties.
  • Prepare and distribute notices, hearing materials, decisions, and correspondence
  • Support continual improvement of hearing practices and panel onboarding/training

Decision Editor (30%)

  • Attend hearings and deliberations; take notes and draft decisions and reasons reflecting panel instructions
  • Review the record and precedent; conduct research as needed; and edit/proofread decisions for accuracy, clarity, and consistency with tribunals standards and templates
  • Flag novel or sensitive issues to Independent Legal Counsel and/or General Counsel
  • Maintain decision templates; prepare decision summaries; and support publication of decisions and related documents under the Disciplinary Rules and Procedures

Monitoring and Compliance (15%)

  • Monitor compliance with Hearing Panel decisions/orders and take appropriate follow-up action
  • Conduct trademark use checks; identify FP Canada trademark misuse; and coordinate responses
  • Liaise with internal/external legal counsel

Other (5%)

  • Support other panels including coordinate meetings, distributing materials, taking minutes, and completing follow-up actions
  • Maintain hearing and trademark statistics and prepare reports

Required Qualifications

The ideal candidate will have the following skills and experience:

  • Lawyer or Paralegal authorized to practice in Ontario
  • Minimum two years of relevant experience gained at a professional oversight body or regulator
  • Demonstrated understanding of litigation, administrative law, and/or professional regulation
  • Strong legal analysis, synthesis of complex records, and decision‑writing skills
  • Strong judgment, critical thinking, and records management skills
  • Professional and composed when dealing with sensitive matters and the public
  • Knowledge of the financial services sector is an asset
  • Fluency in French is an asset

Competencies

  • Strong written and analytical skills
  • Exceptionally organized, with strong prioritizing, and coordinating skills
  • Ability to manage competing deadlines, a high-volume caseload, and prioritize issues and tasks
  • Strong computer skills (Word, Excel, PowerPoint, Internet researching, Power Bi Reporting)
  • Ability to work independently as well as collaboratively with the organization

This is a full-time permanent position working 5 days per week, during core business hours, with some flexibility required. Salary

Salary based on experience, ranging from $70,000 to $90,000.
