Council Liaison – Office of the Registrar and CEO

The Role: Council Liaison, Office of the Registrar

We are seeking a Council Liaison to join the Office of the Registrar. This role requires an exceptionally organized, adaptable, and proactive professional, dedicated to providing comprehensive support to the College’s Council and committee members in carrying out effective governance. Reporting to the Registrar and CEO, the ideal candidate will possess a proven ability to serve as the primary liaison and point of contact of Council and committees with College staff, the public and key groups. They will also act as a staff resource to various committees. The ideal candidate will possess a very high degree of accuracy and attention to detail and is highly organized. Working in a fast paced, often complex, and highly confidential environment, the Council Liaison adapts quickly to and works well under the frequent changes in the priorities and deadlines of the Office of the Registrar and organization. 

Specific Duties and Responsibilities:

What you will be doing in the role:

Council and Committee Coordination

  • Identifies the need for and conducts research and analyses, preparing reports for and on behalf of the Council and committees, ensuring the timely flow of reports and information, obtaining expert College or external supports and advice as required, and facilitates Council/committee consideration of reports, findings, and decision points.
  • Arranges internal and external meetings and special events, checking availability of all meeting attendees, inviting meeting participants, booking facilities, catering, A/V requirements and web/teleconference arrangements.
  • Prepares Council and Executive Committee meeting agendas and meeting packages.
  • Records minutes of Council and Executive Committee meetings, ensuring appropriate interpretation and recording of proceedings and resolutions in support of an accurate reflection of Council and committee proceedings, providing procedural advice as appropriate.
  • Provides support to the Council and committees at meetings in the form of interpretation of Council decisions, reviews motions for the Registrar and CEO and chair for each Council and committee meeting, for approval and ensures preservation and maintenance of official records.

Council and Committee Support

  • Provides support to the Registrar and CEO in relation to Council and committees, including conflict of interest issues and upcoming expiry of Council and committee appointments.
  • Plans, coordinates and manages the annual election of Council members ensuring adherence to established by-laws and policies; acts as staff resource to the Election Committee. Liaises with external consultants, and internal departments as necessary.
  • Throughout the Council year, works with Registrar and CEO, staff resources, committee chairs and the Council Chair to ensure that committees remain fully constituted.
  • Ensures committee representation is in accordance with the by-laws, statutory requirements, and established committee composition principles.

 

What you will bring to the role:

  • A post-secondary diploma in business, administration or equivalent combination of education and experience.
  • A minimum five years’ relevant and progressive experience in supporting Council or Boards within an organization.
  • Knowledge of non-profit Council governance with applicable regulatory and statutory requirements with proven knowledge of current governance best practices in professional regulation
  • A desire to take initiative, demonstrate professionalism, and sound judgment when handling sensitive and confidential information. The ability to work independently and to contribute as an integral member of a team.
  • Skills and talents that allow you to easily navigate multiple tasks setting priorities, achieving deadlines, while being accurate and attentive to details.
  • Excellent communication skills, both written and verbal, and the ability to effectively establish and build trust and relationships with key groups.
  • Demonstrated ability to lead and manage projects from inception to completion, ensuring alignment with business goals.
  • Meeting/event planning skills and ability to lead virtual and in-person meetings.
  • Technologically savvy with proven expertise and hands-on experience in effectively utilizing the Microsoft 365 suite, including Power BI, to leverage its full capabilities to enhance process efficiency and build reports as necessary.

  Compensation and Benefits

What we offer:

  • The position is full-time, permanent.
  • Target hiring salary range is up to $77,157 annually.
  • Downtown Toronto office (directly on Line 2 of the TTC).
