Administrative Assistant, Investigations & Hearings – One year contract

College of Psychologists and Behaviour Analysts of Ontario

The College of Psychologists and Behaviour Analysts of Ontario is the governing body for Psychologists, Psychological Associates, and Behaviour Analysts in Ontario. The College’s role is to regulate the provision of psychological and applied behaviour analysis in the public interest by setting the standards for competent and ethical practice. These regulatory activities include establishing entry-to-practice requirements, developing and promoting Practice Standards, supporting continuing competence, fostering professional engagement, and managing concerns related to professional conduct.

The College is located at Yonge and Eglinton and operates in a hyprid work evironment. 

ROLE

Supports Director, Investigations and Hearings and other College staff in the areas of record keeping, preparing and distributing communications, organization of meetings and hearings.

KEY RESPONSIBILITIES

Records Management

  • Organize and maintain electronic and manual filing systems
  • Manage SharePoint folders and assign/update permissions
  • Open/update/close complaint/report/title violation files

Communications

  • Draft and prepare routine correspondence
  • Copy, scan, index and distribute investigation files
  • Monitor email and voicemail accounts
  • Respond to requests for information

Organization of Meetings and Hearings

  • Prepare meeting agendas
  • Prepare committee documents for meetings and teleconferences
  • Monitor timelines for case managers to submit files for meetings and standing teleconferences
  • Update committee materials as new information comes in and notify the panel
  • Format decisions and forward for review
  • Prepare disclosure records for matters referred to the Discipline Committee
  • Canvass committee members’ availability for meetings and hearings and for conflicts of interest
  • Arrange meetings, including booking meeting rooms and distributing materials, make hotel, travel and food arrangements as necessary
  • Prepare/process minutes and per diems for meetings and teleconferences
  • Run weekly reports for Directors and other reports as required

Investigations Support

  • Capture web sites for title violations or other investigations
  • Transcribe voice messages or other recordings, as required

Other duties as required

MINIMUM QUALIFICATIONS   

  • Administrative experience in a regulatory or professional environment
  • Successful completion of a university or college program

TECHNICAL KNOWLEDGE/EXPERIENCE

  • Facility with Microsoft Dynamics CRM and Microsoft Office Suite including ACCESS
  • Skills in and knowledge of systems, software programs to prepare reports, presentations, and correspondence

PREFERRED QUALIFICATIONS

  • Fluency in oral and written French an asset

  • Ability to manage confidential material

The contract includes extended health and pension benefits. Salary $52,000 – $55,000.
