Coordinator, Professional Practice (Contract role up to 14 months)

The Role: Coordinator, Professional Practice (Contract role up to 14 months)

We are seeking a detail-oriented Coordinator, Professional Practice to join the team. Reporting to the Director, Professional Practice, you’ll use your program and project coordination experience to support the quality assurance processes for the College’s mandatory annual Continuing Competence Program (CCP), while also providing support to the Standards of Practice Committee. This role requires a customer-focused, collaborative and organized professional with a proactive mindset.

Specific Duties and Responsibilities

What you will be doing in the role:

  • Monitor registrants’ completion status against the CCP’s criteria and timelines, and track compliance requirements.
  • Document and maintain registrant records for the CCP, and follow up accordingly.
  • Assist with CCP reviews and quality checks related to the program.
  • Deliver presentations on the CCP to key partners, including the Coffee with the College sessions.
  • Respond to inquiries from registrants, educators and the public regarding the CCP, professional liability insurance, cross-jurisdictional practice, independent practice and other program and department-related matters.
  • Coordinate and schedule all outreach presentations, webinars and online events, including preparation of materials, technical support and follow-up with participants.
  • Collect, monitor, analyze and report departmental and program statistics, including tracking outreach presentation requests, survey responses and other evaluative data to inform planning and process improvements.
  • Prepare, finalize and distribute program materials, including curriculum guides and College publications, while coordinating follow-ups with educators, students and registrants to support engagement and feedback collection.
  • Serve as the main point of contact in Dynamics 365, maintaining accurate records, updating information, running data analysis and leveraging the database’s capabilities to streamline and automate processes, where applicable.
  • Collaborate across departments to support joint initiatives, resource development and smooth operational coverage within the team, including making travel arrangements when required.
  • Any other duties that may be assigned.

Committee support

  • Provide operational support to the Standards of Practice Committee, including scheduling meetings and orientations and taking minutes.
  • Prepare, finalize and distribute Committee packages and upload them to Board Effect.

 What you will bring to the role:

  • A post-secondary education in office administration, social work, social service work or equivalent combination of education and experience.
  • Minimum four years of work experience in program coordination.
  • Experience working within a regulatory body, professional association or similar organization is an asset.
  • Demonstrated experience supporting or coordinating quality assurance processes (e.g. audits, compliance reviews, monitoring and tracking activities) in a regulatory or professional context.
  • Experience implementing new processes or contributing to process improvements within a team or department.
  • Experience in project coordination, including planning, tracking deliverables, monitoring timelines and collaborating with others to ensure successful completion is an asset.
  • Demonstrated drive to take initiative, work independently, exercise good judgment and seek support as necessary.
  • Demonstrated skillset in preparing and delivering presentations to diverse audiences.
  • Excellent interpersonal, customer service, time-management and organizational skills, with a proven track record to manage tasks, set priorities and meet deadlines.
  • Demonstrated experience with handling sensitive and confidential information with compassion and empathy.
  • Excellent technology proficiency with Microsoft 365, including Teams, Outlook, Word, Excel and PowerPoint.
  • Demonstrated proficiency working with relational databases, specifically Microsoft Dynamics 365, and a willingness to learn new applications.
  • Advanced experience working with Adobe Acrobat is an asset.
  • Exceptional attention to detail in written and oral communication, demonstrated through accurate editing, proofreading and preparation of professional documents.
  • Proficiency in French is an asset.

Compensation and Benefits

What we offer:

  • The position is a contract position.
  • Target salary hiring range is $76,930 – $79,781.
  • Downtown Toronto office (directly on Line 2 of the TTC).
  • Supportive work-life flexibility and a hybrid work model.
  • An additional week of paid time off as the College closes between December 25th and January 1st and early office closure on the Friday before a long weekend.
